About this Opportunity
ERA is seeking a Portfolio and Intake Coordinator. Reporting to ERA’s Technology Intake Lead, this position is accountable to both the Technology Intake and Portfolio Management teams. To be effective in this role the candidate must:

About the Position
The Intake and Portfolio Coordinator will play a key role in delivering on ERA’s mandate to accelerate innovative emission reduction technologies. You will organize, coordinate and plan administrative facets of both ERA’s funding programs and the execution of projects within our portfolio. You will bridge the intake and portfolio teams, ensuring seamless flowthrough and communication of data while providing important logistical and coordination support. The high-level tasks for each team are as follows:
Project Intake (0.5 FTE):
- Coordinator level support for all aspects of project intake through ERA’s competitive funding programs. Includes:
- Data Distribution and Quality Control: Exporting data from ERA’s Information Management System and performing quality control checks. Distributing material to various teams through SharePoint.
- Coordinating Consensus Meetings and Presentations: Administration of consensus meetings, including creation of calendar invites and zoom links, confirming attendance & key support roles, liaison with applicant, support during reviews and consensus as required including minute taking.
- Applicant notification: Drafting notification letters, incorporating additional documents to be sent to applicants, and tracking receipt of them.
- Maintaining, and updating excel and word tools and templates as necessary to facilitate operational efficiency of the project intake process.
Portfolio Team (0.5 FTE):
- Coordinator level support to all aspects of Portfolio management. Includes:
- Coordination and quality control of finance and technical deliverables required to complete milestone payment requests, project close out and project change requests.
- Communications: Drafting notification letters or briefings for both internal and external distribution.
- Assist Project Advisors with drafting of steering committee minutes, documentation of minor changes, distribution and electronic filing of material, including following archive policy.
- Assist Project Advisors with processing financial claims through ERA’s information Management System, including quality control of submission.
- Assist ERA’s Contracts Manager with updates and accuracy of data within ERA’s information management system throughout the project lifecycle.
Qualifications and Skills
- A post-secondary degree, preferably in business administration, project management, or similar.
- 3+ years of related experience working in portfolio and project management.
- Must be an advanced excel user capable of creating and maintaining large datasets, including the use of advance formulae and development of macros.
- Strong organizational and time-management skills, with attention to detail that reflects ability to perform and prioritize multiple tasks, competing agendas and demands.
- Strong written and verbal communication skills.

Compensation and Location
ERA offers competitive compensation in addition to support for professional development. The base salary for this position is between $72,000 and $78,000 dependent on experience, plus a comprehensive benefits package. This role will be located at either ERA’s Edmonton or Calgary office. In recognition of flexible needs of team members, ERA has adopted a hybrid work policy with a minimum of three days working in the office.
