About this Opportunity
Emissions Reduction Alberta is seeking a highly organized and proactive Administrative Operations Coordinator to support cross-functional teams and executive operations. This role serves as a pivotal point of contact, ensuring seamless communication and efficient operations across various departments. The ideal candidate will demonstrate exceptional multitasking abilities, a keen eye for detail, and a strong commitment to fostering a collaborative work environment.
Key Responsibilities
- Oversee, prioritize, and manage executives’ schedules and travel arrangements, ensuring they are informed and prepared for upcoming meetings, presentations, and commitments. Follow up as necessary.
- Coordinate the development, formatting, and editing of speaking notes, briefing materials, presentations, and other documents.
- Provide day-to-day administrative assistance, including managing office equipment, and arranging maintenance.
- Work collaboratively with senior management and the communications team to coordinate outreach activities and prepare for participation in events such as conferences, funding announcements, stakeholder/government engagement workshops, webinars, and other initiatives.
- Oversee office supplies, manage physical space, and ensure adequate office coverage during business hours by coordinating with the Contract Administrator and team members.
- Serve as a first-line point of contact for internal software platforms (e.g., Board Portal, CRM, and knowledge bases).
- Support integrations between tools (e.g., calendar, conferencing, task trackers, file storage) to enhance meeting preparation, action-item tracking, and document version control.
- Maintain an organized repository of templates, briefing materials, and meeting artifacts; ensure version control and archival practices are followed.
- Organize and maintain physical and electronic files, including confidential documents, ensuring accessibility and adherence to company policies.
- Assist with special projects as needed, including research, data compilation, and report generation.
- Identify opportunities to streamline administrative processes and improve efficiency within the teams.
- Cultivate strong working relationships with team members, stakeholders, and external partners to facilitate smooth collaboration.
Qualifications and Skills
- Proven experience as an administrative assistant or in a similar administrative role, preferably within a cross-functional or fast-paced environment.
- Excellent written and verbal communication skills, with the ability to interact professionally with individuals at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- High degree of accuracy and attention to detail.
- Ability to work independently and as part of a team, demonstrating a proactive and adaptable approach.
- Discretion and confidentiality in handling sensitive information.
- Positive attitude and strong work ethic.
- Familiarity with virtual collaboration platforms.
- Diploma in office administration or 3-5 years of experience in an administrative function.
Location
This position can be located at ERA’s Edmonton or Calgary office. At ERA, we support flexibility by offering employees the option to work remotely on some days, while spending the majority of their time collaborating in person at our office.
Compensation
The base salary for this position is between $73,000 – $85,000, depending on experience, plus comprehensive benefits.
